Special Funding Request Policy and Procedure

BACKGROUND:

Each year teachers and principals request funding to support activities outside the scope of FEEF’s regular annual budget. Board decisions regarding the funding of these activities are made on an ad hoc basis according to the following policy and procedure.

POLICY:

Special Funding Requests relates to funding for activities outside the scope of teacher and classroom grants, professional development, and regular budgeted items. For the request to be considered it must clearly support the mission of FEEF  (to provide and promote educational enrichment opportunities for all Fairhope public school students), and, it must arise from a need stated by a school or principal. Activities that benefit all schools or as many students as possible will be given highest priority. As funds are limited, there should be demonstrated a clear need and indication that efforts have been made to obtain funds from other sources.

PROCEDURE:

Teachers and/or principals:

1.      Submit request in writing, using the Special Funding Request form, to FEEF, 82 Plantation Pointe # 307, Fairhope, AL 36532, or electronically to director@feefonline.org

2.      Indicate purpose for which the funds will be used and how it will benefit the schools as specified in the above policy.  Specifically, the request must show what will be gained from the activity and how many students will benefit.

3.      Include amount requested, and willingness to accept partial funding if applicable. Include an amount for acceptable partial funding when applicable.

4.      Include time constraints/deadlines if applicable.

5.      Include contact information.

6.      Optional–Include written recommendation/letter of support from local principal (request is strengthened if supported by more than one principal.)

FEEF:

1.      Annual budget to include set amount of dollars for Special Funding Requests.

2.      Executive Committee reviews all Special Funding Requests. As per the FEEF bylaws, the Executive Committee may approve spending up to $500. Requests for funding greater than $500 must have approval of the Board of Directors upon a recommendation from the Executive Committee.

3.      Executive Director will notify the teacher/principal of the Board’s decision, and request and disperse check(s) in the appropriate amount.
